When you use the Bua Terra Farm Risk Assessment tool, we collect the following personal data:

Account information:

• Your name and email address, collected when you register for an account

Farm information:

• Farmer name

• Farm name

• County

• Enterprise types (for example beef, dairy, sheep)

Assessment data:

• Your answers to the risk assessment questions

• Any notes you add during the assessment

• Hazard records generated from your answers

• Resolution notes you add when resolving a hazard

• The date your assessment was completed

We do not collect payment information. We do not collect sensitive personal data as defined under GDPR.

 

3. Why We Collect It

We collect and process your data for the following purposes:

• To create and manage your account

• To run your farm risk assessment and generate your hazard report

• To allow you to return to your hazard list and track resolved actions

• To generate a downloadable risk assessment report for your records

• To improve the tool based on how it is used

The legal basis for processing your data is legitimate interests (Article 6(1)(f) GDPR): providing you with a farm risk assessment service you have requested, and contract performance (Article 6(1)(b) GDPR): delivering the service you registered to use.

 

4. How Long We Keep Your Data

We retain your farm and assessment data for as long as your account is active. If you request deletion of your account, your personal data will be deleted within 30 days.

Assessment records may be retained in anonymised form for the purpose of improving the service.

 

5. Who We Share It With

We do not sell your data to any third party.

Your data is stored and processed by our hosting and platform provider, who acts as a data processor on our behalf under a data processing agreement. Our platform provider's infrastructure uses encryption in transit and at rest.

We do not share your data with the HSA, Bord Bia, or any other regulatory body.

 

6. Your Rights Under GDPR

As a data subject under GDPR you have the following rights:

• Right of access: You can request a copy of the personal data we hold about you

• Right to rectification: You can ask us to correct inaccurate data

• Right to erasure: You can ask us to delete your personal data

• Right to restrict processing: You can ask us to limit how we use your data

• Right to data portability: You can ask for your data in a machine-readable format

• Right to object: You can object to our processing of your data
